Booking & Payment Procedure

After filling out the on-line form, you will receive notification after 1-2 working days from the organiser in Helsinki, The Travel Experience, to confirm your place(s) at the event including the elements you requested. Payment is required in advance of the event by credit card using our secure Pay Pal link. After the payment is made, cancellations and refunds are possible according to the terms set out below.

Cancellation Conditions

* Note that for each refund transaction, a 50 EUR administration fee will be deducted *

Saturday Conference & Evening concert package:
Full refund, if cancelled up to 60 days prior to event
No refunds given if cancelled less than 60 days prior to event

Networking Dinner (Friday):
Full refund if cancelled up to 45 days prior to the evening
No refunds given if cancelled less than 45 days prior to the evening

Dark Ambient Friday Concert (Friday) :
After payment, no refunds are possible

Evening Concert (if booked without the Day Conference) :
After payment, no refunds are possible

Tallinn Excursion :
Full refund if cancelled up to 30 days prior to event
No refunds given if cancelled less than 30 days prior to event

Accommodation booked at the Conference hotels :
Full refund, if cancelled up to 45 days prior to arrival
No refunds given if cancelled less than 45 days prior to arrival

In cases of cancellation customer credit cards will be refunded in full, less administration fee of 50 EUR (per transaction).

All bookings and cancellations must be received by us in writing via e-mail.  Cancellations are considered binding only if we have responded to show receipt of cancellation.

Change of Services

Every effort has been made by The Travel Experience to ensure accommodation and services as advertised will be provided.  However, we reserve the right to change the content of the programme outlined on our web site due to low participant numbers or other unforseen reasons. Even where content remains unchanged timings given on the web site may be changed for various logistical reasons or otherwise.

We recommend all participants travelling from abroad to make sure they have a travel insurance to cover cancellation fees and other costs incurred by participant's need to cancel the trip for various reasons.

The Travel Experience cannot be held responsible for third party infringements or for losses or injuries caused by Force Majeure, or by events beyond its control. 

Submitting the on-line form is subject to agreeing to these Booking, Payment, and Cancellation terms.
